Position Description: Practice Administrator Reports to: Managing Partner/Owner
Main function: To oversee all operational aspects of the practice; to ensure an efficient, high-quality patient care environment along with financial and marketing development in support of practice goals and strategic planning. To adapt business tools for The Eye Clinic of Florida while preserving a caring approach to providing medical services.
Broad Charter...Work with the practice owner, employee doctors and managers to create and manage a cohesive, high quality practice. Refine and polish operations as needed. Responsible for day-to-day operations.
Budget and Performance Forecasting...Coordinates, with the financial staff and external practice accounting resources, the preparation of monthly financial statements and volume performance summary benchmark reports; interprets these statistics and presents monthly; participates in the preparation of a forward-looking pro-forma forecast of anticipated practice performance; develops business cases for proposed capital equipment and other decisions; responsible for assuring that an appropriate cost-benefit analysis is conducted for all new projects, policies, procedure pricing and other initiatives.
Profitability Review and Enhancement...Develops, with each manager and doctor, individual volume performance and/or profitability and the means for achieving these goals. Coaches doctors, supporting the owner, on where they stand compared to their profit and volume goals; intervenes briskly if volumes or profits lag or if expenses accelerate beyond agreed levels.
Ongoing Market Assessment...Maintains ongoing contacts with the practice’s source of patients and with payers and institutions in the region.
Planning and Development...Leads the practice with the development of the practice's strategic and business operations plan; leads the approval process for each subsequent edition.
Recruitment…Involved in physician and staff recruitment activities.
Supervisory Authority…Directly or indirectly supervises, evaluates and rewards/reprimands the work product of all lay staff in the practice; in consultation with the owner doctor, has hiring and termination authority over all such staff. Revises as necessary the organization chart showing all staff members, their roles and reporting lines.
Human resources management…Directly supervises and delegates benefits administration, hiring/firing processes, and the general development of all managers and employees.
Practice Project and Action Monitoring...Supervises the maintenance of a comprehensive accountability document summarizing all key practice activities and projects, those responsible for their completion and agreed deadlines; assures that all responsible parties are meeting their deadlines.
Operations Documentation...Coordinates the preparation, maintenance and periodic revisions of a practice operations manual, containing sections for each area of the practice; participates in the periodic review of the practice’s employee policy manual.
Clinical and Business Practices Oversight...Coordinates with practice owner and outside advisory resources to conduct risk management assessments; works closely with the owner to improve on and/or eliminate any clinical or business practices believed to be inappropriate.
Other duties as required…Includes: Oversight of (or being the) Compliance Officer, oversees optical department business, manages facilities leases and renovation projects, oversight of IT services including outsourced or in-house personnel, and any additional duties or projects assigned by the practice owner.
5 years experience leading similarly sized (1-3 physician) practice.
5 years experience of directly billing Medicare and Medicare Advantage Plans.
5 years experience of managing computer systems, Medicare Quality Improvement Programs, and EMR/PM computer systems.
